Personal Assistant to the CEO 

Overall responsibility
​

WorkSpace is looking for an inspired and experienced Personal Assistant, who relishes the opportunity to build, implement, and manage multiple systems that combine to elevate the company. The Personal Assistant will be able to work independently and have the ability to quickly learn organizational structure and the objectives of the team as well as have a strong bias for action, a sense of urgency, and exceptional communication skills.​
​Main Job Tasks and Responsibilities
​

  • Co-ordinate and keep track of the CEO's schedule which includes: meetings, engagements, appointments, reservations and travel arrangements.
  • Organize and co-ordinate functions and special events which the CEO is involved in.
  • Promptly screen and accurately direct all communications sent to the Executive, responding where appropriate and eliciting necessary information to facilitate timely and accurate responses.
  • Remain aware of CEO's schedules, updating and alerting the CEO proactively regarding engagements and any conflicts related to timing of prospective or confirmed appointments.
  • Maintain a well organized filing system that permits easy reference and rapid retrieval of information.
  • Support the Executive by providing communication management across the company.
  • Work closely with the CEO to streamline operations and future initiatives.
  • Coordinate & manage the preparation of internal and remote meetings, proactively following up on specific action items.
  • Draft and review emails, presentations, and promotional and meeting materials in support of the leadership team.
  • Build cross-functional relationships between departments.
  • Perform additional administrative duties as needed.
Key Competencies
​
​
  • A Bachelor’s degree or equivalent combination of education and experience.
  • Previous experience as a Personal / Executive Assistant.
  • Strong PC skills: Word, Excel, Power Point and Google.
  • Exceptionally detail oriented.
  • Excellent interpersonal and oral communication skills.
  • Proficient in English language, spelling, grammar and punctuation.
  • Ability to exercise good judgment, show initiative and be proactive.
  • High standards of ethics and confidentiality to handle sensitive information.
  • Have a reliable means of personal transportation.
  • Fit and Healthy, able to carry heavy items up to 50 lbs.
  • Able to work late and available to provide support after hours.

  • Strong sense of customer service
  • Good organizational skills
  • Clean driving record

Term of employment:
Full Time - After performance review.

Work Hours
Monday to Friday 08:30 am – 07:00 pm
